Given that I am now at nearly 80 (caches found) and heading for 100, I thought it was high time to setting a few caches of my own. Rather than just place them and see what happens, I was wondering that as I have potential sites for 4 or 5 that it would be a good opportunity to organise an event.
I am only too aware that December is fast approaching and time at the weekends is starting to be diverted to more seasonal pursuits so I guess that it would be best to wait till January. Still, that would be something to look forward to after the seasonal excess.
Currently I am thinking of Sat, Jan 20th and hopefully I would get the caches published a few days before but I would hold off placing the containers until that morning.
Hopefully there is enough interest to do this but thought I would take a sounding on the forum here before taking the idea any further.
Needles to say if anyone would like to help with this or add a cache of their own for the event then that would be most welcome.

Would have loved the opportunity but that weekend no good. I'd have jumped at the chance of a bash otherwise.

There are plenty of experienced event organizers here, who will gladly give you advice (even if you don't ask for it.)
I have two observations:-
1) You can place your caches some days in advance. If you tell the reviewers that the caches associated with the event (and ask nicely) they will hold back the listing until the appropriate time - usually the morning of the event.
Don't be tempted to do too many "special" caches of this type. Remember that the primary object of an event is the social aspect - you don't want your attendees to be still wandering about the countryside, when they're supposed to be at the venue.
2) The 20th Jan 2006 is a Friday. Is this what you meant?

I start work at 2pm on Saturday the 21st, but I will be happy to help if need be, just drop me an email if you think there is anything I can do.

Just had another thought on this, as soon as you have a place to hold the event, get the cache page up and running, you can edit it later when you have more information, but it will give people time to organise themselves for it. A lot of people that turn up don't frequent the forums.

Agreed - although two-and-a-bit months might seem plenty of time to organize a cache event, it's not.
1) The most important thing is to find a suitable venue. It should have decent (reasonably priced) food and beer. Must be kiddie-friendly. If your chosen venue is a gay bar, make sure to warn people about the status in advance. (This is not a joke.)
2) Assume that the weather will be bad. It might not be, but that's just a bonus.
3) The date is whatever you can agree with the venue. You'll never be able to choose a date which suits EVERYONE, and it's a waste of time trying.
4) If attendees are travelling from far away (like Ireland) try to check on what overnight accommodation might be available in the area. If you can cut a deal on room pricing, so much the better.
5) Don't over-organize, but DO consider some activities for the venue: a raffle or other prize draw, perhaps. At the Leenane event in Ireland, we held a charity geocaching auction - the outcome of which still makes me catch my breath whenever I think of it.

We'd definately be up for doing something & if I can help organise anything let me know. Have never organised anything like that before, but there is a first time for everything.

either of those weekends is okay with us, but would prefer the 21st.
could be fun, however please also take into consideration paydays. folks get paid early for xmas and the usual time in january, so the weekend b4 payday might be a bit tight for some. then most people are resonsible adults (hmmm) and wouldn't be in such a situation _________________ 2 weeks since snowboarding time - sob |

As a pointer you can have a look at this event. I believe it went down well with everyone and had a total of 26 cache names attend, with a total of 50 people.
As for the gay bar, the last event that was organised in Edinburgh, the pub was in fact a gay bar, apparently one of the kids was asking what the naked man on the wall was for? AB may correct me if I am wrong? _________________ Let me know if I say anything that offends you
